Moving from Fresha, Booksy or Treatwell to your own system, step by step
A calm, practical order of work for taking your clients, prices and bookings with you, and being honest about what stays behind.
Before you start
Moving is mostly a matter of order. Do not close anything until the new system is live and you have tested a booking from start to finish. Run the old and new side by side for a few weeks if you can. Nothing here needs to be rushed.
Step 1: Get your client list out
Fresha. On Fresha's help page, the owner can export the client list in Excel or CSV format. On desktop you go to Clients, then the Clients list, then Options. On mobile it is under Actions. Fresha controls who can do this with a "Can download clients" permission, so if you work alone you should be fine, and if you have ever added staff, check the permission is yours.
Booksy. Ask Booksy's support team for a copy of your client list with contact details. Do it early, because we could not find a stated timescale.
Treatwell. Treatwell's partner terms say you may download data and information from the service in advance of leaving, excluding customer reviews. Do this before you give notice, not after.
Step 2: Copy your prices and services
Fresha says your service menu can be exported as PDF, Excel or CSV. For the others, a screenshot of each page of your menu is a perfectly good record. Keep the descriptions and durations as well as the prices, because your new system will need all three.
Step 3: Gather your forms and photos
Check what your current app lets you download. If it will not give you your consultation form answers or client photos in a usable file, work through them in the app and save your own copies before you leave. Treat anything with health information as sensitive: store it somewhere private, not in a shared folder or a messaging app.
Step 4: Tell your clients
Send one short, friendly message before the switch, and one on the day. Keep it simple:
"I am moving my bookings to a new system on [date]. Your appointments are safe and nothing changes about your visit. From [date], please book through [new link]. The old link will stop working on [date]."
Include your new link every time. Most clients just follow the latest link they were sent.
Step 5: Redirect your booking link
Change the link in your Instagram bio, Google Business Profile, Facebook page, email signature and any QR codes or printed cards. Put the new link first. Then leave a note on the old page for as long as the old account stays open.
Step 6: Think about your reviews
Reviews belong to the platform they were left on. Treatwell's terms exclude customer reviews from what you can download. Fresha says that if you cancel, your marketplace profile is unlisted and reviews are no longer visible to clients, though they are not deleted and return if you reactivate. So before you cancel, take screenshots of your best reviews, and ask loyal clients to leave one on your Google profile, which you control.
Step 7: Timing and notice
Treatwell's terms let you end the agreement by giving 30 days' notice. Work backwards from that: give notice about a month before your planned switch. For the others, check your own account for notice or billing dates, as Fresha, for example, charges on the first day of each calendar month.
What you cannot take with you
Card details. Fresha says client card details are securely stored, encrypted and cannot be exported or transferred. That is a sensible protection, but it means clients with a card on file will need to add a card again in the new system. Say so in your message so it is not a surprise.
Marketplace listings and reviews also stay where they are. Treat those as a loss you plan for, not a surprise.
Do this next
- Export your client list today, while you still have easy access.
- Save your service menu, prices and durations in one document.
- Screenshot your best reviews and ask five loyal clients for a Google review.
- Write your "I am moving" message and choose a date.
- Book a test appointment on the new system before you tell anyone.
